At this point, your Christmas party plans should be in place. All you need to do is firm up final arrangements and check the last few things off your list. To offer you a helping hand, here’s your ultimate London Christmas party checklist:    

1. Send a reminder to your guest list    

If it’s been a while since you sent out your invites, it’s wise to follow up with your guest list and confirm who will be attending and who can no longer make it. This will help you firm up numbers and make any adjustments to transport, travel, food and drinks.    

When following up with your guests, use the opportunity to remind them of the date, time, dress code and travel arrangements or local transport options. A quick reminder is a perfect way to get excitement levels up in time for the big day.  

2. Understand food and drink requirements  

Knowing which guests are definitely attending will help you finalise your catering arrangements. Depending on which catering option you’re providing, you may be required to ask guests in advance which set menu they want or which drinks they would like on arrival.  

Make sure to ask if your guests have any special dietary requirements so you can cater for everyone’s needs sufficiently. You’ll also want to ensure that soft drinks are available for anyone that doesn’t drink or is driving that evening.  

3. Recommend transport for your guests

Transport in London isn’t hard to come by. But if you want to be extra prepared and save your guests a job, you can suggest the nearest underground, bus and train routes to your venue to make sure everyone can get home safely. If you’ve arranged overnight accommodation, you may want to provide transport for your guests to and from the hotel and venue.

4. Test your AV equipment in advance

Your venue may provide all the equipment for you, like speakers, microphones and screens. If the venue doesn’t offer this, you’ll have to hire the equipment yourself for the duration of the celebrations.  

5. Wow your guests with a special surprise  

Giving your guests a special gift or surprise is a great way to end the festivities. Depending on your budget, this could be a small party favour, a speech shouting out the great work of your colleagues, or a wow factor courtesy of your venue.
