Summer is approaching! That means warm evenings outside, celebrating with friends and family, and an abundance of parties are ensuing. Planning your summer party can be great fun if you start early and stay organised.
To help your summer party go off without a hitch, we’ve put together 5 handy top tips that you can follow to get ahead of schedule:
1. It’s never too early to start planning
Beginning to plan your summer party well before the hotter months approach will make sure you secure the coolest venue in London. Think about what you want to achieve from your summer party. Is it to have fun? Is it team building? Knowing what you want to get out of your event will help you know if it was a success or not.
Put together a checklist with everything you must plan. This includes:
- Guest list
- Location and venue
- Date and time
- Accommodation and transport
- Food and drinks
- Theme and decorations
- Entertainment and activities
- AV equipment
- Photographer or photo booth
If you’re hosting a corporate summer party, you may want to consider if you want any presentations or speeches at your event. In this case, you will need to secure AV equipment and work closely with your speakers to make sure they know how much time they have and what the presentation should look like.
2. Inside or outside?
It may be summer time, but the weather in the UK is often unpredictable. It’s not guaranteed that the sun will be shining, or that the rain will stay away during your party. You’ll want to consider whether you host your party indoors or outdoors and plan accordingly. You may want to host it outside but with a marquee so you can stay dry if the heavens decide to open.
If you’re choosing to host your party indoors, you may want to pick a venue with a balcony or roof terrace, so your guests have the option of heading outside if the sun comes out. As the evening draws in, have blankets or heaters at the ready to warm your guests up.
3. Keep your guests entertained
While chit chat and a few presentations will keep your guests busy for a while, they may expect something a bit more exciting, especially if you’re hosting an all day event. Consider whether you want to hire a singer, band, DJ, games or cocktail making for example to liven your party up.
Why not take to the pitch at Leyton Orient Football Club? Head into the first team dressing rooms and get ready to grace the same pitch as O’s legends. Hire out the pitch for a bit of friendly competition and fresh air. Pitch hires are available from 9th to 31st May 2022 only.
4. Food on the brain
Regardless of whether your summer party is held throughout the day or in the evening, you’ll want to put on food to keep your guests happy. Most great venues have catering facilities in-house and if they don’t, they should be able to support a third-party provider if you find your own. Work with your caterer to provide options for those with dietary requirements, so that everyone is considered.
When it comes to drinks, there’s likely to be a bar at your chosen venue, and it’s up to you whether you hold an open bar or cash bar. To get the party started, you may want to provide your guests with a welcome drink on arrival.
5. Drum up excitement
Your annual summer party is likely to be a highly anticipated event, so whilst in the middle of planning your event, don’t forget to drum up excitement with your guests. Send out invites, reminders, or countdowns in the run up to the big day so everyone can get the date in their diaries and plan in advance.
Most importantly, have fun! Your summer party is a time to unwind and celebrate with friends, family or colleagues. You may want to hire a photographer, photo booth or willing guests to capture memories of the evening and share them with everyone after the party.
